The trick to managing multiple listings per item

Multi-channel merchants already know the importance of maintaining accurate inventory levels at all times. And yet even the most attentive internet sellers often find it difficult to get this right. Some use online inventory management systems to try to keep up with their stock while others use Excel spreadsheets. Whatever your case may be, our latest blog post reveals our single most effective online inventory management technique so you'll hopefully never have to deal with surpluses or shortages again.

@Etail Solutions

I currently use Excel because that it what comes naturally to me. I update my 40k+ inventory 5 days a week and aside from the upload time it takes me about 10 minutes to update handling/quantity for Amazon.com, Amazon.ca, eBay, and Rakuten. I feel like bringing in a different process at this time would only confuse and bring unnecessary costs.

The being said, looking at the service, I'm impressed. Anyone without the experience of Excel I'd suggest this to.

Thanks for the feedback Thomas! Its great to hear that you have figured out a process that works for you. Excel is certainly a powerful tool used by many sellers.

Some of our merchants are getting more frequent updates from their suppliers (sometimes hourly!) due to the high velocity of the SKUs they are selling. In those scenarios, automation is critical as taking 10 minutes every hour to update inventory would not be enjoyable.

Again, thanks for the feedback. Please let us know if you are ever interested in learning more about how this process can be automated, we'd love to talk with you.

I could be wrong (frequently), but as far as I understand it no inventory management software can 100% guarantee that you will not oversell a product when listing multi channel.

This is partly due to Amazon only allowing calls / updates to inventory a maximum of 12 times an hour (from memory).

We use Linnworks with the autonomous sync and were finding that in the run up to Christmas 2014 we were over selling on several of our most popular products. We then changed to autosync (every 10 minutes) and were still overselling. We changed to manual sync every 5 minutes and were still overselling. So all we could do was to list 90% of our inventory and manually sync every 5 minutes or so. This did the trick.

Until stock management software can do instantaneous updates, and the selling channels allow this, there will always be the possibility of overselling, no matter how good the seller is at stock control.

@Bigian13 - You are absolutely correct! The reality is that there is no real-time marketplace out there yet, so the way to deal with this is by using an allocation of your inventory to each listing that you are publishing (your 90% example is what we call an 'allocation'). This is actually the topic of our latest post here.

We add another aspect to this however in that we encourage an allocation strategy across all of your listings for a SKU, and many times also a minimum listing quantity as well. For example, you may choose to say "I want to only publish 75% of my inventory to any individual sales listing, but as soon as my stock goes below 5 units, listing 'A' gets pulled down, below 4 units, listing 'B' gets pulled down, etc. until your last couple of units are being sold on your least damaging listing and/or your primary listing.

These tools are simply a way of providing you with a 'buffer' to compensate for the fact that the marketplaces cannot deal with you on a real-time basis. With the right publishing strategy using allocations and min/max settings, you can protect yourself greatly from the risk of overselling, but to your point, the risk can never be 100% alleviated unless you decide to only sell one product on one listing on one channel.
